QuickBooks 2019 for Mac offers enhanced security to protect your company files.

However, this new version allows for only one administrator. If you had more than one administrator in past versions, those admins will retain the same permissions except for the ability to create and change other user accounts.

Here’s what you need to know:

  • When opening your company file in QuickBooks 2019 for the first time, you’ll be prompted to create a password and select a security question and answer.
  • Everyone who uses the company file must have their own user name and password. 
  • To set up profiles for additional users, navigate to Preferences, then Users & Passwords. Click on the plus button to add a user. Provide a temporary password, set the user’s permissions, and save your changes. 
  • Only the Administrator can set up the user accounts and passwords, but once a user logs in themselves they can change their password by navigating to the Users & Passwords window and editing their profile.
